What we collect and why
We ask for a name or nickname and email address. You do not need to give your real name. We use these to personalise messages, confirm your email, provide beta access and necessary programme updates, and deliver the 100% full-game discount promised to the 50 registered beta testers when Combat Overdrive launches. We need your email to provide access and deliver the reward.
We also keep registration and agreement dates, the privacy notice version, participation and verification status, email delivery records, reward eligibility and any assigned code, and your optional marketing choice and its date. Feedback you email us includes your message and any attachments. Please avoid sending unnecessary personal information.
Our lawful bases and your email choices
We rely on legitimate interests to administer the beta you request, respond to feedback, improve the game, honour rewards and protect participants against abuse. We limit records to what these purposes need and provide ways to leave or object.
Optional promotional emails rely on your separate consent. The marketing checkbox starts unticked. Declining or withdrawing marketing consent does not affect your beta place or reward. We do not use unverified addresses for marketing. You can withdraw consent in the beta area or by email, without affecting the lawfulness of earlier processing. We do not sell your details or share them with third parties for their own marketing.
Storage, service providers and security
Cloudflare hosts the website, stores private registration records in D1, provides Turnstile spam protection and holds private beta files in R2. Google processes emails through our Gmail account. These providers may also process IP addresses, request times and device/browser information to operate and protect their services. Jamie Green accesses records to administer the programme.
Cloudflare and Google operate internationally, including outside the UK. Our database and beta file bucket are configured in Western Europe, but this does not mean all processing stays there. Cloudflare describes its contractual UK transfer safeguards in its data-processing agreement; Google describes applicable adequacy, Data Privacy Framework and contractual mechanisms in its transfer information. See Cloudflare's privacy policy and Google's privacy policy, or contact us for further information. We use regular Gmail, not Google Workspace.
We use HTTPS, restricted database access, spam protection and expiring private access links. Access and session tokens are stored as hashes. An essential session cookie lasts up to seven days; you can sign out sooner. Temporary abuse-prevention records use keyed hashes of an IP address or email, expire within 24 hours and are cleared on subsequent requests or maintenance. Do not share private access links. We add no advertising cookies or analytics to the beta pages; the game may store settings and scores locally.
How long we keep information
We review unverified signups after 30 days and remove abandoned requests. We keep beta and reward records until rewards are delivered, then delete or minimise them within 12 months. Delayed or unresolved rewards are reviewed at least annually. These are manual reviews, not automatic deletion deadlines triggered by registration.
We review feedback after 12 months and remove personal details no longer needed for support or game improvement. Programme emails and any exports we control follow the relevant beta/reward or feedback schedule. We review optional marketing records annually and stop marketing when you withdraw; a minimal opt-out record may be retained to respect that choice. Providers may retain their own security logs or backup copies under their published policies for service operation, security and legal requirements; we do not promise immediate removal from their backups.
Leaving the beta stops access, programme updates and optional marketing, but does not automatically erase your reward record or create another beta place. You can request earlier deletion. Removing your contact details may prevent us from delivering beta access or your reward; we will explain any limited information that must be retained and why.
Your rights
You can ask to access or correct your information, request deletion or restriction, and object to processing based on legitimate interests. You can always stop direct marketing. Portability applies where its legal conditions are met. Email [email protected]; we normally respond within one month and will explain any lawful exception or extension. We may need proportionate checks to confirm your identity.
We do not make solely automated decisions with legal or similarly significant effects. You can complain to the Information Commissioner's Office (ICO), whether or not you contact us first.
Changes
We date changes to this notice, retain the version recorded at signup, and explain material changes affecting participants. We seek fresh consent where required.
